Nuneaton Harriers Youth Committee Minutes - 17.03.08 Present: Danny Mills (Chaired), Jared Wilson, Kirstie Deacon, Rachel Chard, Kitkat Hughes. Amanda Hobday(Minutes), Emily Sales, Linzi Deacon and Kayleigh White. Apologies: Donna Chadwick, Holly Tinning, Jenna Tinning, Mitchell Heath, Tasha Timson
Opening and M.A: To begin discussions based on the new teams due to the up and coming 8 Hour Run that is going to demand thorough planning and the time/efforts of all members of the Youth Committee. Kitkat’s team will be made responsible of the bouncy castle on the day, that will inevitably need firm handling regarding restrictions on age limits and safety precautions. The eight hour run letter has been sent to all the clubs that we agreed upon in the previous meeting and are waiting for correspondences eagerly. In other matters, the Nuneaton Games event list has been completed and within a few moths, the Nuneaton Games 2008 will have arrived again. Nuneaton Eight: The Chairmen of the Youth Committee have been sent to twenty seven clubs in the area but have had no reply to date. A number of teams, however, within the club have already been organised including our own Youth Committee team, six teams entered under Charles’ name and a Senior’s team in addition to this. There will be no walker’s teams of such entering/participating this year and a chime has been allocated as the signal for every thirty minute slot. The price of each slot has now been raised to £1.00 a slot which everyone agreed was a suitable cost. In addition to the Eight Hour Run itself, a Easter Egg Treasure Hunt has been organized from 4.30pm onwards and also barbeque and presentations will be other things that the participants shall look forward to. Further discussions on the prizes, such as medals and trophies for the winning teams and also a trophy for the competitor that achieves the most laps within a particular slot. Results shall be organized and processed on the day and numbers per team were also agreed. Members are asked to come to the track on Saturday 5th April to help organize the track, etc.
Team One - The map for the Easter Egg Hunt has been completed and at each point of the treasure hunt there will be a clue (to the next point) and a letter. Each letter will accumulate a word and the team must base their next move on how they interpret that word. Holly has agreed to provide prizes as agreed from the last executive meeting, she suggested (in talks prior to the meeting) that for each member of the winning team there should be a pack of 4/6 crème eggs and a big egg to share, will be discussed later.
Team Two - The barbeque needs to be organized and the members of team two will need to help in preparation before the actual cooking begins. Negotiations with Charles about food are underway and should be organized within this week. It is important to remember that the barbeque always accumulates a good outcome financially and smooth running of this is crucial. Although we are also inclined to take part in the days dun activities, we still need to play our roles as organizers of the event so other participants enjoy the day.
A.O.B - The Presentation Night Award has been decided by the Youth Committee members and Kayleigh has handed back the trophy. A coaches’ award has been proposed as their efforts are sometimes neglected when considering achievements within the club. Cross county finishers all receive a medal. Kitkat is investigating the finances regarding the T-Shirts that she proposed and debates on the target audience are ongoing. Quiz night questions are currently being organised and promotion of the night is much encouraged. Finally the Year Book queries are ongoing and Amanda has put a lot of effort in investigating the work that would need to be put in and also various other matters linked to the book. We hope to include memorable race write ups, pictures, and all social event memories, etc such as Summer Camp and Discos. Amanda explained that £3/£5 pay will be requested and advertising still needs to be organized; help will be very welcome.
